What areas do you service?

We support clients nationally and internationally, often coordinating multi-location searches. We’re headquartered in the Northeast but maintain a wide-reaching network. Share your geography and privacy needs, and we’ll tailor our approach accordingly.

What roles do you specialize in?

We place exceptional professional staff across household/estate, family office, and corporate/executive settings. That includes Estate Managers, Chefs, Housekeepers, Nannies, Family Assistants, Chiefs of Staff, Executive/Personal Assistants, Accountants, Bookkeepers, and Directors of Operations - as well as select specialized roles. If you have a unique need, we’ll advise you honestly on the best approach.

How long does a typical search take?

Timelines vary depending on the role and the level of specificity. After a short intake call, we’ll provide a clear timeline and next steps. Many searches conclude within a few weeks; highly specialized or confidential placements may take longer. Clients find us extremely responsive to their timeframe and receive proactive updates at every stage. Throughout the process, we continually calibrate each search, drawing on our vast network and reputation to locate the right match.

How do you find and vet candidates?

We begin by listening carefully to define the role, then combine personal referrals, discreet outreach, and targeted research to identify outstanding candidates. Every finalist undergoes rigorous reference checks and background verifications. We also work with trusted private investigators and technology tools to flag potential concerns. We’re looking for more than skills; we seek chemistry, integrity, and long-term fit.

Do you work with NDAs or confidentiality requirements?

Yes. Discretion is at the heart of what we do. We routinely manage NDAs, privacy protocols, and layered confidentiality for UHNW families and executives.

What happens if a placement doesn’t work out?

We stand behind every search with a defined replacement/guarantee period (outlined in our standard agreement). If something feels off, we’ll address it quickly and professionally. Our goal is lasting continuity and peace of mind. We lead with integrity and respect for both our clients and our candidates and always aim to make everyone feel at ease. If there’s an issue, we resolve it: relationships come first.

How do your fees work?

Fees vary by role, scope, and urgency. After a short call, we’ll outline a simple proposal covering structure, timing, and fee terms, followed by a written agreement with no surprises. We also advise clients on compensation, benefits, perks, and market trends to ensure offers are competitive and well-structured.

Do you help clients define roles or organizational structure?

Often, yes. Many families and executives come to us unsure whether they need a House Manager, Family Assistant, or Chief of Staff. We consult on job design, skill sets, salary levels, and team structure before we begin a search.

Can you support multi-residence or heavy-travel lifestyles?

Absolutely. We routinely staff for multiple homes, estates, and complex executive schedules that involve travel and rotation. Chief of Staff and Family Assistant roles often require flexibility and hybrid skill sets, a specialty of ours. We’ll help you design the right model for your life.

Do you place temporary or project-based roles?

Yes, on a case-by-case basis. While most of our work involves full-time placements, we occasionally take on part-time or project-based searches when the need aligns with our expertise. Tell us what you’re hoping to achieve and your timeline, and we’ll recommend whether a temporary, temp-to-perm, or direct hire arrangement is best.

Do you use technology or AI in your process?

Yes, but very thoughtfully. We use technology to stay connected with clients, verify credentials, and manage communication efficiently. Our tools help us cast a wider net and ensure every qualified candidate is considered. That said, every judgment, match, and final decision is entirely human. We call it thoughtful innovation with technology that enhances, never replaces, the instincts and relationships that make this work so personal. Many of our candidates maintain limited online footprints, and many of our clients value privacy…We act as the discreet bridge between them.

Do you charge candidates?

No, never. We do not charge candidates to apply or be represented. If you’re an experienced professional with excellent references and a service heart, we’d love to meet you. Start here: Explore Open Roles.

What makes The Calendar Group different from other agencies?

Experience, intuition, and longevity. For over 25 years, we’ve been guided by the same founders and values. Our blend of human insight and modern tools allows us to identify and retain talent that truly fits. Most of our placements last because the match feels natural on both sides.

Do you handle payroll services?

We don’t process payroll directly, but we coordinate seamlessly with your accountant, family office, or trusted payroll provider. We can recommend vetted partners who specialize in compliance and employment administration for private households.

How do I get started?

Simply reach out. Call us or fill out our contact form, and we’ll get back to you quickly. Every conversation begins with exploration, never pressure. We’ll listen, learn what you need, and help you determine whether now is the right time to begin your search. We also may not be the right firm, and will refer you as best we can.

What if we plan to relocate or need to find a home first?

We’re happy to help. Through our affiliation with Compass Realty, we can connect you with trusted real estate professionals worldwide. Beyond that, we’re always available for vendor referrals, service introductions, or local recommendations. The Calendar Group began in lifestyle management - locating art, concert tickets, and event experiences for private families - and that resourcefulness remains part of who we are today.
